Session Procedure and Cancellation Policy:

Vera Fitness has an appointment based model which helps hold you accountable and keeps you committed to a steady fitness routine!  We request and encourage you to reserve your sessions in advance.  This model also helps us provide great service by allowing us to see who will be in our sessions ahead of time.   If you need to change your schedule you can do so at any time before 24 hours prior to your session.  However we know sometimes things come up last minute and here is what you can expect if you aren’t able to cancel the day before:

  • NO SHOW – Client doesn’t show up to session and doesn’t call or email before the session: $15 fee
  • Late Cancel -Client has a non-emergency cancel within 24 hours – but calls or emails before session: $10
  • Early Cancel – Client cancels more then 24 hours in advance: $0
  • NO FEE Cancel- Client is sick or has a family emergency and calls or emails before session: $0  

THIS APPLIES TO ALL SESSIONS! This policy is not intended to be punitive – it is in place to assist you with accountability and help us continue to provide top quality small group personal training at an affordable price!

Annual Membership - Holds and Cancellation Policy

Annual memberships are a 12 month commitment.  They can however, be put on hold in units of one month starting and ending on the date that their regular payment goes through.  They can do this up to 6 times during their contract (for a total of 6 months).  Their contract will be extended by the equivalent number of months without exception – they must honor the 12 month commitment.

As the contract states, clients can terminate their annual contract without penalty for the following two reasons ONLY:

  •  You have a doctor’s note saying that they must permanently (or for a long period of time) end an exercise regimen.
  • They have moved more then 25 miles away from the studio. (another Seattle neighborhood doesn’t count)
Month to Month membership

Month to month memberships require a 30 day written notice to be terminated.  Email is sufficient.

Snow policy

While the snow can be both beautiful and fun – it also presents some challenges for the urban dwellers of the Pacific Northwest.  Your Vera instructors are committed to doing their very best to make it to the studio or find a replacement who can make it safely in case of inclement weather.  However, the weather can vary greatly in different parts of town and everybody’s safety is our number one concern, therefore there are times that we may choose to change the schedule or close the studio.  To make sure you avoid showing up to a cancelled class – please be sure to:

  • Check the scheduler as close to class time as you can for specific information about teacher changes, late openings, early closures or last minute cancellations
  • Check our blog or Facebook for general announcements about closures

We also ask that if you have a scheduled session and cannot make it safely to the studio that you communicate with us as soon as you can.  The late cancel fee of $10 will not be charged to your account if you communicate with us about your absence before your scheduled session.  We suggest calling or emailing the studio rather than late canceling yourself online.
